A Custom GPT is a version of ChatGPT that has been configured with specific instructions, knowledge files, and capabilities for a defined purpose. It is not a separate AI model — it is a configured interface to the underlying ChatGPT model.

OpenAI's documentation describes the configuration options as: a name and description, instructions that define how the GPT behaves and responds, knowledge files that give it reference material to draw from, a recommended model, capabilities such as web search or code interpretation, and actions that connect it to external APIs.

Building a Custom GPT requires a paid ChatGPT subscription and is currently limited to the web interface. The result can be kept private, shared with specific people, or published to the GPT Store.

What Custom GPTs cannot do

They cannot access live systems without actions

A Custom GPT does not connect to a CRM, inbox, calendar, or database unless actions are configured to call an external API. Knowledge files are static uploads, not live data feeds.

They cannot guarantee accuracy

A Custom GPT can produce plausible but incorrect output, especially for specific facts, figures, or regulations. Human review remains necessary for consequential decisions.

They cannot replace a workflow

They cannot keep knowledge current automatically

When a different approach may be more suitable

If the use case requires live data, system integration, automated triggers, or actions that update records, a workflow automation tool or a custom AI build is likely more appropriate than a Custom GPT.

If the knowledge base changes frequently, a retrieval-augmented generation system connected to a live document store may be more reliable than a Custom GPT with manually updated files.

If the business needs to control exactly where data is processed and stored, a self-hosted or enterprise solution with appropriate data terms should be evaluated.

I use Custom GPTs for tasks where the interface needs to be conversational and the knowledge is stable. The most reliable ones I have built are for structured intake — guiding a user through a set of questions and producing a formatted output — because the scope is narrow and the review step is built into the process.

The most common mistake I see is treating a Custom GPT as a live knowledge system. The knowledge files are a snapshot. If the business's processes, pricing, or policies change, someone needs to update the file.
